PYCO Group is looking for a HR Executive in HCM City office.
WHAT YOU WILL DO?
You will report directly to, be coached and mentored by the HR Operations Manager of PYCO Digital and the Head of HR of the PYCO Group in Vietnam.
Your job is to deliver a pleasant experience to people in multiple business entities of PYCO Group in Vietnam through the HR processes & policies. These entities include PYCO Digital (250), YP (10), and CTC/MM-BOT (40).
YOUR MAIN RESPONSIBILITIES:
On-boarding coordination: collaborate with the recruitment team, department managers, training department, office operations, admin manager, and IT team to facilitate onboarding and to bring the best experience to newcomers of all entities.
Orientation: Conduct the induction session for newcomers of the in-charge entity (CTC/MM-BOT entity only).
Probation appraisals: collaborate with department managers to conduct the probation appraisals including the learning report, self-review, peer-reviews, and manager's assessment.
Timesheet administration: perform the timesheet processing for the monthly payrolls, provide time reports for Production/Commercial teams, check and resolve any issues related to timesheets
Off-boarding coordination: work with related teams to make sure the whole process can run smoothly and to provide a positive experience to exiting employees.
HR-IS: maintain, update employee information on data sheets and Jira system (EPM - employee profile management) and provide reports upon management's requests; update the organizational chart.
Leave administration: update employees' leave entitlements upon management's approval and at the annual cycle, verify leave usage and policy compliance, check and resolve issues related to employee leave management on the systems (Jira & Tempo); Work with the Data & Productivity Tool Specialist to develop and maintain the leave & idle time dashboard.
Employment administration: prepare, get signatures, answer questions, and keep in files both hard copies and scanned copies of the labor contract, NDA, appendix, termination decision, and other written agreements (entity: CTC). Guide newcomers to get the administrative documents including judicial records, passport and get them submitted to the Admin department.
Helpdesk: Provide information and guidance to employees related to systems, HR related processes and policies.
Continuous improvement: obtain and convey feedback while contributing ideas to improve the current processes and policies
WHO WE ARE LOOKING FOR?
You have at least one year's experience in a similar job
You can speak English fluently and possess good English business writing skills
You love working with people and bringing a pleasant experience to others
You have in-depth knowledge about labor code, employment law, compulsory insurances, and personal income tax
You are familiar with office applications (Word, Excel, Gmail, Google Sheet)
You have strong logical thinking
You are a self-confident, hard working, careful, and proactive person
